General Terms and Conditions

General Terms and Conditions of Bertelsmann University

Please note that the General Terms and Conditions apply only to Bertelsmann University’s public programs that are freely bookable in the advanced training scheme. Different conditions and procedures may apply to parts of the nomination programs and language teaching courses. 

Registration 

You can register via the Group’s corporate HR platform peoplenet at www.peoplenet.bertelsmann.de. If you do not yet have access to peoplenet, you can also register by filling in the Bertelsmann University Registration Form. The form must then be signed by you, your supervisor manager and – if necessary – the responsible personnel department. If the approval and/or signature of the personnel department is required, your supervisor is responsible for ensuring that this part of the approval process is duly completed. 

When your registration (online or in written form) has been received, you will be sent a message acknowledging its receipt. Approx. 4 weeks before the course starts you will receive an invitation containing all the relevant information you will need for participating in the course. If you register at short notice (less than ten days before the course is due to start), there is no guarantee that personalized participation documents can be provided on the first day of the course. In such cases, your participation documents and certificate will, however, be provided as soon as possible. We will ensure that your participation in the course booked is not negatively affected by this procedure. 

All course dates and prices are valid at the time of publication. The prices stated are per person and do not include the required VAT. We reserve the right to make any necessary changes. If you purchase an e-learning course, the license will remain valid for one year after you have received your access data. 

Waiting List

Applications are processed in the order of their arrival. If your chosen course is already full when we receive your application, a place will be reserved for you on the waiting list and you will be notified in writing. We will offer you an alternative date if and when we have received enough applications to justify an additional course.

Attendance Fee

The listed attendance fee and expenses for hotel accommodation and meals will be charged to your cost center. The attendance fee also includes the cost of participation documents. If you pay for the course yourself, the attendance fee plus statutory VAT will be invoiced to your home address. 

Hotel Reservation

If you register via peoplenet and require a hotel reservation, please contact Bertelsmann University as soon as you have received your registration confirmation. Bertelsmann University will then reserve a hotel room according to your preferences. If you submit a written application form, Bertelsmann University will reserve a hotel room in accordance with the details given on the form. If you subsequently cancel an existing room reservation at short notice, you will be invoiced for any cancellation fees charged by the hotel.

Cancellation by Bertelsmann University

Bertelsmann University reserves the right to cancel a course if the requisite minimum number of participants for this type of course is not achieved, and if the teacher is indisposed or for technical reasons. If Bertelsmann University exercises its right to cancel a course, it will make every reasonable effort to rebook participants to an alternative date and/or course location. Participants will be informed of any changes as soon as possible. Please note, however, that participants have no legal entitlement to an alternative date or location. Participants are also advised that any charges or fees arising from cancellation of air or rail tickets will not be reimbursed.

Cancellation by Participant

With your confirmation you have committed yourself to participate in this program. In case of cancellation 6 weeks prior the start of the program a cancellation fee of 80 Euros will be charged to your department. In case of cancellation within 6 till 4 weeks prior the start of the program, half of the program fee plus hotel and board expenses will accrue. In case of cancellation within the last 4 weeks prior the start of the program, no replacement candidate or non-attendance at short-term, we have to charge the whole program fee plus hotel and board expenses. These terms and conditions also apply in case of illness.

Language Training Courses: A course unit may be cancelled free of charge up to 24 hours before it is scheduled to begin. Participation in an online course may be cancelled free of charge up to six hours before it is due to start. A cancellation fee of 100% of the attendance fee will be charged for cancellations made after the above deadlines. Please note that you are liable for a proportional charge as soon as the course takes place, regardless of whether you participate or not! You are therefore advised to clarify in advance with your trainer and your colleagues if and when the next training unit will take place.

Data Privacy, Data Protection

Bertelsmann University takes the privacy of your personal data seriously. All data collection, data storage and data transfer processes take place in accordance with the applicable current legislation regarding the protection and security of personal data. All personal data, voluntary information and any updates thereof submitted during the registration procedure will only be collected, processed and used by Bertelsmann University in connection with your registration or participation in any Bertelsmann University training course or event for which you have registered. We also work with data processing sub-contractors (external service providers) to manage registration and participation information. All data processing sub-contractors are only given access to your personal data to the extent and for the time period which is necessary for the performance of the respective service(s). Bertelsmann University’s data processing sub-contractors are also subject to the strict regulations concerning personal data privacy and protection set out above.
